Privacy Policy

FlexMentor ("we", "our", or "us") operates the FlexMentor mobile application (the "App") available on iOS and Android. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App and related services (collectively, the "Services").

By downloading, installing, or using FlexMentor, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this policy, please do not use our Services.

This policy is provided in compliance with Apple App Store guidelines, Google Play Store guidelines, the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other applicable privacy laws.

A. Information You Provide Directly

• Account Information: Name, email address, password, and profile photo when you create an account.
• Role Information: Whether you register as a Coach or Client.
• Coach Profile: Business name, brand logo, bio, and coaching credentials.
• Health & Fitness Data: Body weight logs, workout logs (exercises, sets, reps, weight), meal logs (foods, macros, calories), and progress photos you choose to upload.
• Check-In Submissions: Weekly check-in responses, written notes, and any additional information you submit to your coach.
• Messages: Content of real-time messages exchanged between coaches and clients within the App.

B. Information Collected Automatically

• Device Information: Device type, operating system version, unique device identifiers, and mobile network information.
• Usage Data: Features accessed, time spent in the App, screens viewed, and interaction events.
• Log Data: IP address, app crashes, performance data, and diagnostic information.
• Push Notification Tokens: Device tokens used to deliver push notifications, collected only with your permission.

C. Information We Do Not Collect

• We do not collect precise GPS location data.
• We do not access your contacts, calendar, or microphone.
• We do not collect data from third-party social networks unless you explicitly connect them.

We use the information we collect to:

• Create and manage your account and authenticate your identity.
• Provide the core platform features: workout plans, nutrition plans, check-ins, progress tracking, and coach-client messaging.
• Facilitate communication between coaches and their clients.
• Send push notifications for messages, reminders, and check-in prompts (only with your consent).
• Monitor and improve App performance, fix bugs, and develop new features.
• Comply with legal obligations and enforce our Terms of Service.
• Respond to support requests and communicate important service updates.

We do not sell your personal information to third parties. We do not use your health and fitness data for advertising purposes.

FlexMentor handles health and fitness information including body weight, workout performance, nutrition logs, and progress photos. This data is considered sensitive and is treated with the highest level of care:

• Health data is used solely to provide the coaching and progress-tracking features of the App.
• Health data is shared only between the client and their assigned coach within the platform.
• Health data is never shared with advertisers or third-party data brokers.
• Health data is never used to build advertising profiles.
• You may delete your health data at any time by deleting your account or by contacting us.

FlexMentor does not integrate with Apple HealthKit or Google Fit. All health data is entered manually by users within the App.

We may share your information in the following limited circumstances:

• Coach–Client Relationship: Information you submit (workout logs, meal logs, check-ins, progress photos, messages) is visible to your assigned coach or, if you are a coach, to your assigned clients.
• Service Providers: We engage trusted third-party vendors to operate our infrastructure (e.g., cloud hosting, push notification delivery). These providers are contractually bound to process data only on our behalf.
• Legal Requirements: We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of FlexMentor, our users, or the public.
• Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will provide notice before your data is transferred and becomes subject to a different privacy policy.

We do not sell, rent, or trade your personal information.

We retain your personal data for as long as your account is active or as needed to provide Services. Specifically:

• Account data is retained until you delete your account.
• Health and fitness data is retained until you delete it or delete your account.
• Messages are retained for the duration of the coach–client relationship and deleted upon account deletion.
• Log and diagnostic data is retained for up to 90 days.

Upon account deletion, we will delete or anonymize your personal data within 30 days, except where retention is required by law.

We implement industry-standard technical and organizational measures to protect your information:

• Data is transmitted over encrypted connections (TLS/HTTPS).
• Passwords are hashed and never stored in plain text.
• Access to production data is restricted to authorized personnel on a need-to-know basis.
• Progress photos are stored in encrypted object storage with access-controlled URLs.

No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at jabez@flexmentor.in.

FlexMentor may send push notifications to your device for messages, check-in reminders, workout reminders, and important account updates. Push notifications require your explicit permission on both iOS and Android.

You can manage or withdraw push notification permissions at any time through your device's system settings (iOS: Settings → FlexMentor → Notifications; Android: Settings → Apps → FlexMentor → Notifications).

Disabling push notifications will not affect your ability to use core App features.

FlexMentor is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. Users must be at least 13 years old to create an account. Users between 13 and 18 must have verifiable parental or guardian consent.

If we learn that we have collected personal information from a child under 13 without parental consent, we will delete that information promptly. If you believe we have collected such information, please contact us at jabez@flexmentor.in.

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of inaccurate or incomplete data.
• Deletion: Request deletion of your personal data ("right to be forgotten").
• Portability: Request a portable copy of your data in a machine-readable format.
• Restriction: Request restriction of processing of your data.
• Objection: Object to our processing of your data in certain circumstances.
• Withdraw Consent: Withdraw consent at any time where processing is based on consent.

California Residents (CCPA): You have the right to know what personal information we collect, the right to delete it, and the right to opt out of its sale. We do not sell personal information.

The App may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before providing any personal information.

Our App uses the following third-party services which have their own privacy policies:

• Expo / EAS Build — app build and delivery infrastructure
• Socket.io — real-time messaging infrastructure
• Cloud storage provider for media uploads

Your information may be transferred to and processed in countries other than your country of residence, including the United States, where data protection laws may differ. By using our Services, you consent to such transfers. We take appropriate safeguards to ensure your data is treated securely and in accordance with this Privacy Policy wherever it is processed.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy within the App, updating the "Last Updated" date at the top of this page, and sending a push notification or in-app message where appropriate.

Your continued use of FlexMentor after any changes to this policy constitutes your acceptance of the updated terms.
